History
Port Stephens Strata Management Services has provided quality Strata and Community Title Management services for the past thirty years to hundreds of properties in the Port Stephens, Newcastle, Hunter Valley, Central West and Central and Northern coastal regions of New South Wales.

Services
Port Stephens Strata Management Services through 8th Generation Pty Ltd is a member of the NSW Institute of Strata Title Management (ISTM), the peak professional body representing the Strata industry in NSW.  Managing Director David Morris is President of ISTM.

ACCOUNTING:

  • Issue levy notices
  • Monitor levy arrears and manage the  legal recovery process on behalf of the owners corporation where necessary
  • Maintain journals and ledgers
  • Prepare draft budgets for both the administration and sinking funds
  • Investigate possible cost savings and implement them
  • Establish & maintain trust account
  • Manage investable funds to maximise returns and minimise costs.
  • Pay accounts on behalf of the owners corporation
  • Provide quality management of the financial position of owners corporation including cash flow management
  • Provide annually, statutory reconciled accounting balance sheet, statement of income and expenditure and levy status report.
  • Assist auditor where applicable by providing accounts and reconciliations
  • Provide owners with 9 options for the payment of their levy contributions 

INSURANCE:

  • Obtain quotations for repairs
  • Prepare and lodge insurance claims
  • Obtain quotations for insurance renewal
  • Arrange insurance valuation as required.
  • Coordinate with insurance companies, repairer, engineers, loss adjusters and or other professionals.

SECRETARIAL:

  • Maintain strata roll and minute book
  • Maintain correspondence file
  • Safeguard, maintain and supervise the use of the common seal
  • Execute contracts in accordance with instructions
  • Attend to routine written and oral communications
  • Provide after hours emergency telephone contact
  • Maintain books and records in accordance with the relevant legislation.
  • Issue Statutory Certificates
  • Arrange/facilitate inspections in accordance statutory requirements

MEETINGS:

  • Prepare & distribute notice of meeting
  • Convene & chair meetings of the owners corporation
  • Prepare & distribute minutes of meetings
  • Our meeting rooms provided free of charge to owners  corporations
  • Arrange alternate venues for meetings
  • Hold meetings in accordance with legislative requirements.

REPAIRS & MAINTENANCE:
Port Stephens Strata Management Services uses its bulk purchasing power to negotiate favourable rates with contractors, generating substantial savings to clients across all activities.

Port Stephens Strata Management Services personnel are comprehensively trained in the following aspects of repairs and maintenance to common property:

  • To differentiate between those repairs and maintenance items relating to common property and those for which a lot owner is responsible to repair and maintain. 
  • Attend to repairs, maintenance and replacement of common property within their delegated authority levels.
  • Obtain quotations for repair, maintenance and replacement of  common property
  • Engage suitably qualified, licensed and insured trades personnel to prepare a scope of works to be carried out on behalf of the Owners Corporation and instruct said personnel in accordance with the legislative requirements.
  • Engagement and Instruction of “Principal Contractor” as defined in and required by the OH & S Act
  • To engage engineers, architects or other professionals upon receipt of instructions from the owners corporation

Staffing - Our People
Port Stephens Strata Management Services invests heavily in training to ensure the staff you communicate with and who manage all aspects of the business are the most knowledgeable of managers, assistants and clerks in the region, if not the state. Of our 12 permanent staff members 3 are licensed Strata Managers and 10 are qualified to at least Certificate of Registration level, which allows them to act as Strata Managers of plans despite only 6 actually acting as Strata Managers. Most staff exceed the Continuing Professional Development education requirements set by the office of Fair trading , not just meet the requirement.
